Start with fixed records
Add the tenancy agreement, deposit or bond payment, receipt, official lodging or protection record where applicable, condition report, notices and key-return record.
Add condition changes
Record reported damage, maintenance problems, repairs, leaks, appliance failures and other events that may explain later condition. Keep the underlying message, photo or repair record.
Add inspections
Include inspection notice, attendance, report, photographs and follow-up. State who created each record rather than presenting another person’s document as your own.
Add move-out activity
Record cleaning, repairs, final readings, move-out photographs, final inspection and key return. Keep invoices and confirmation messages.
Add the deposit claim
State the amount requested, each proposed deduction, the supporting reason and the response. Keep calculations separate from the original deposit payment record.
Separate evidence from conclusions
Record what happened and the source. For example: “Agent proposed a $300 cleaning deduction and attached invoice I02” is stronger than guessing at the agent’s motive.
