Build a clear unpaid wage calculation record

Calculate one pay period at a time. Separate ordinary hours, additional hours, allowances, commission, leave, deductions and payments, cite the source for every rate and figure, and mark anything not yet verified. Define the period

Record the period start and end dates, scheduled pay date and actual payment date. Do not combine months or years into one unexplained figure.

Cite each rate

Identify whether a rate comes from a contract, payslip, employer statement, collective instrument, official rate source or another record. Include the effective date and mark unresolved classification questions.

Reconcile payment

Compare the expected gross amount, recorded deductions, expected net amount and actual deposit. A bank deposit alone may not explain the gross calculation.

Keep version and correction control

Keep each calculation version, record the date and source change, correct arithmetic openly, and show later back payments against the correct pay period rather than erasing the original shortfall.

Avoid common calculation errors

Do not mix gross and net pay, apply a current rate to an earlier period, double-count hours, ignore unpaid leave, treat reimbursements as wages, use the wrong currency or present an unverified classification as settled.
