Preserve the originals
Keep the original quote, contract, purchase order, invoice, delivery record, messages, emails and payment records. Do not overwrite the only available copy.
Start with fixed events
Add reliable dates first: quote acceptance, purchase order, delivery, completion, invoice issue, due date and payments.
Add changes and variations
Record agreed changes to scope, quantity, price, delivery or timing and link the record that supports each change.
Add reminders and responses
Summarise meaningful reminders and replies neutrally and keep the complete source message.
Reconcile the balance
List credits, adjustments and part payments separately. Keep the original invoice unchanged.
Mark uncertainty and gaps
Use labels such as approximately or date estimated rather than inventing precision.
