Start with fixed dates
Enter dates shown on contracts, invoices, receipts, notices, reports, appointments and sent messages. Link each entry to the original record.
Add communications and transactions
Include important calls, meetings, payments, deliveries, complaints, responses and repair attempts. Keep descriptions short and neutral.
Separate facts from conclusions
Write what occurred or what a record states. Put allegations, opinions or disputed interpretations in clearly labelled notes.
Mark uncertainty honestly
Use labels such as approximately, date estimated or time unknown. Do not create false precision.
Record gaps
Add a missing-information note when an important period or document is absent. A visible gap is safer than an invented event.
